Exhibitor Information
The meeting will be held August 22 - 25, 2011, at the Omni Richmond Hotel, Richmond, Virginia. On average, about 100 - 125 persons attend the meeting, including state radiological health program directors, radiological staff, physicists, government radiation personnel, and others with an interest in radioactive material safety.
Please submit your electronic company profile and logo by July 15, 2011. To submit your company profile and logo, log in to the meeting website at: www.phoenixrisingsolutions.com and click on the “Add Exhibitor” tab.
To increase your exposure, our Web site will contain the names and addresses of the companies that will be exhibiting. We will also provide a link to each company’s Web site in addition to your name, address, and contact numbers. This information will remain on our Web site for 30 days following the annual meeting. Also, you will be provided a contact list and the Meeting Program we will include your logo and your company profile.
Exhibit Fees: The fee for exhibiting at this year’s meeting will be determined at the spring Executive Board meeting in April and will be posted our website. Each booth space will include two complimentary registrations, which entitles you to attend the plenary sessions and visibility on OAS’s Web site. Entering the two complimentary registrations in the “Related Attendees” area of the exhibitor form will take care of their registration. If more than two persons plan to attend, the additional persons will need to register as regular meeting attendees at the standard registration fee.

Exhibitor Giveaway (optional): Exhibitors may wish to donate small items that are given away during breaks throughout the meeting. Attendees deposit their business card in each booth and one is drawn for each giveaway. The name of the person, the company, and the item is announced in the general session. The business cards are yours to keep. This is strictly voluntary.
Guidelines on Exhibits:

- Hotel unfortunately does not have storage space for crates.
- Skirted table and standard 110v electrical outlets are included in your exhibitor fee. See the attached Exhibitor Service Form for additional needs.
Taxes and Licenses: Exhibitor shall be responsible for obtaining any licenses, permits, or approvals required under local or state law applicable to their exhibiting at Organization of Agreement State’s Annual Meeting. Exhibitor shall be responsible for obtaining any tax identification numbers and paying all taxes, license fees, or other charges that are due to any governmental authority in connection with exhibitor's activities.
Liability and Insurance: OAS will take reasonable precautions to safeguard the exhibitor's property; however, OAS will not be liable for loss or damage to property of the exhibitor or his/her representatives or employees from theft, fire, accident, or other cause beyond its control. Exhibitors are advised to insure themselves at their own expense against property loss or damage, and liability for personal injury. OAS's liability for injury to persons or loss or damage to property shall be limited to liability as may be caused by its negligence. The exhibitor shall indemnify the OAS against, and hold harmless from, negligence of the exhibitor or in connection with exhibitor's use of display space.
All related equipment, crates, trash, etc., must be removed from the premises by 5:00 P.M. on August 25, 2011. The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor's activities on the Hotel premises and will indemnify, defend, and hold harmless the Hotel, the Hotel's agents, and employees from any and all such losses, damages, and claims.

Hotel Information:
Hotel rates: $114 single and double plus sales tax per room per night. These rates are also available three days prior to and three days after the Meeting based on availability. The cut-off date for hotel reservations is July 22, 2011.
